ARC Landscaping Approval Process

Landscaping

Homeowners willing to pay the full cost will be permitted to make landscaping modifications to the following areas only:

  • The landscaping bed that runs alongside the garage and sidewalk directly in front of a unit.

  • The shared courtyard between two inside units. NOTE: A written agreement signed by both owners must be included in the Architectural Review form (ARC) submittal.

  • The area directly in front of outside units. NOTE: This does not include the areas between buildings, as this is considered a common area.

  • Planting beds behind the owner’s unit.

 

To confirm if the space meets the above criteria, you may contact the property management company to request a review by the Landscaping Committee.

Homeowners are expected to consult the Landscaping Master Plan for recommended plants, flowers and shrubs before beginning the process.

Failure to follow the ARC process may result in non-negotiable fines.

This process is to ensure liability occurrence will be avoided by both the HOA and owners.

  1. Download the ARC form, complete it and save it on your device.

  2. Obtain a Certificate of Insurance (COI) from the vendor. Insurance must cover general liability and workers’ compensation using standard insured amounts. COI must list the HOA as additionally insured or as an additional interested party stated exactly as follows: The Golf Villas of White Eagle, C/O FirstService Residential, 2000 Center Drive B415, Hoffman Estates IL 60192.

  3. Submit the ARC form, along with the items in the checklist via email to Golf Villas community association manager: Admin.IL@fsresidential.com. You will be notified of approval or the need for modifications or additional information within 14 business days of receiving the application.

Homeowners will then have 120 days from the estimated start date to complete the approved project. Any extensions must be requested through the community association manager.

All projects must include the following:

☐ An estimate/quote from the vendor of your choice

☐ A drawing/rendering of the project identifying plants, shrubs and flowers and their locations

☐ Photographs of the current space

☐ Full description of project

☐ Materials being used

☐ Timeline with estimated start date

☐ Signed, written agreement by both unit owners (when applicable)

 

If an owner chooses a different vendor at any time during the process, a new ARC form must be submitted due to potential changes in liability insurance.
